This tool works best with PDFs that contain real text and tables, such as bank statements, invoices and reports. Scanned PDFs, which are only pictures of paper, need text recognition (OCR) first. Your file is sent over a secure connection to our conversion server, turned into an Excel file and not stored.
What is a PDF to Excel converter?
A PDF to Excel converter takes the tables and numbers inside a PDF file and puts them into an Excel spreadsheet, so you can sort them, calculate with them and edit them. A PDF is made to look the same everywhere, which is great for reading but awkward for working with data. Copying a table out of a PDF by hand usually ruins the columns and takes a long time.
Our converter reads the text and the table layout of your PDF and builds an XLSX file that opens in Microsoft Excel, Google Sheets, LibreOffice and other spreadsheet programs.
How to convert PDF to Excel online
- Step 1: Upload your PDF: Drag the file into the box, or choose it from your device. Files up to 25 MB are accepted.
- Step 2: Choose the layout: Pick one sheet for each PDF page, or put everything on one sheet.
- Step 3: Convert: Press the convert button and wait a few seconds while the tables are extracted.
- Step 4: Download: Save the XLSX file and open it in Excel or Google Sheets.
- Step 5: Check the result: Look over the numbers and dates, and clean up anything that did not come across perfectly.
Which PDFs convert well?
The best results come from PDFs that were created by a program, such as a bank statement, an invoice, a financial report, a price list or a timetable exported from software. These files contain real text with a clear position for every word, so the converter can tell which words belong to which column.
Simple tables with clear columns and rows convert almost perfectly. Complex layouts, such as tables with merged cells, several tables side by side or text wrapped around the table, may need some cleanup in Excel after the conversion.
What about scanned PDFs?
A scanned PDF is only a picture of a paper page. It has no real text, so there is nothing to read until a program recognizes the letters, which is called OCR, or optical character recognition. This converter does not do OCR, so a scanned file will give an empty or very poor result.
To check, open the PDF and try to select a word with your mouse. If you can select and copy text, the file is text-based and will convert. If you cannot, run OCR first, for example with a scanner app, a PDF editor or Google Drive, and convert the result.
One sheet per page or everything on one sheet?
- One sheet for each page: Keeps every PDF page separate. It is the best choice for reports where each page is a different table, or when you want to compare pages.
- Everything on one sheet: Places all the rows one after another. Choose it for a long statement or list that runs across many pages, because you can then sort and filter the whole table at once.
Tips for better results
- Use the original PDF: A file exported from software converts far better than a scan or a photo of a printout.
- Remove passwords first: Protected PDFs cannot be read. Unlock the file with the password, save a copy and convert that.
- Split very long files: Convert big documents in smaller parts, so they are quicker and easier to check.
- Check numbers and dates: After converting, make sure Excel treats numbers as numbers and dates as dates.
- Compare with the PDF: For money and legal documents, always check the totals against the original.
Cleaning up your data in Excel
Some cleanup is normal after any PDF conversion. If a column of numbers is aligned to the left, Excel may be treating it as text. Select it and use Data, then Text to Columns, to convert it, or multiply the column by 1. Delete empty rows and repeated page headers and footers, and use Find and Replace to remove stray symbols such as currency signs or extra spaces.
If you use Microsoft 365, Excel can also import a PDF directly through Data, Get Data, From File, From PDF. It is a good option for a second try when a table needs different handling.
