How to Convert PDF to Excel (and What to Do When It Fails)

By SEOAnalytics Lab · Updated · 7 min read

A bank statement, an invoice or a price list arrives as a PDF, and you need the numbers in Excel to sort them, add them up or build a chart. Copying and pasting from a PDF usually ruins the columns and takes a long time. A converter can read the table layout and place each value in its own cell.

This guide explains which PDFs convert well, how to convert a PDF to Excel step by step, how to clean the result and why some files fail. It also shows what to do with scanned PDFs, which need an extra step.

Why PDF tables are hard to use in Excel

A PDF is built to look the same everywhere. It stores text as words placed at exact positions on a page, not as rows and columns. A table in a PDF is only a set of words that happen to line up, so there is no real table inside it.

A PDF to Excel converter has to work out which words belong to which cell from their positions and the lines between them. This works well for simple tables and less well for complicated ones, which is why checking the result is always part of the job.

Which PDFs convert well?

The best results come from PDFs that were created by a program, such as an exported bank statement, an invoice, a financial report or a timetable. These files contain real text with a clear position for every word.

A scanned PDF is different. It is only a picture of a paper page, with no text inside, so there is nothing for the converter to read. To check which kind you have, open the PDF and try to select a word with your mouse. If you can select and copy the text, the file will convert. If you cannot, it is a scan.

  • Converts well. Bank statements, invoices, price lists and reports exported from software, with simple tables and clear columns.
  • Needs cleanup. Tables with merged cells, several tables side by side or text wrapped around the table.
  • Does not convert. Scans and photos of paper pages, because they have no real text. They need text recognition first.

How to convert PDF to Excel step by step

  • Step 1: Open the converter. Go to the PDF to Excel tool. No account or installation is needed.
  • Step 2: Upload your PDF. Drag the file into the box or choose it from your device. PDFs up to 25 MB are accepted.
  • Step 3: Choose the layout. Pick one sheet for each PDF page, or put everything on a single sheet.
  • Step 4: Press Convert to Excel. Wait a few seconds while the tables are found and placed in rows and columns.
  • Step 5: Download and check. Open the XLSX file in Excel or Google Sheets and compare it with the PDF, especially the numbers and dates.

One sheet per page or everything on one sheet?

The layout you pick changes how easy the data is to use afterwards.

  • One sheet for each page. Keeps every PDF page separate. It suits reports where each page holds a different table, and it makes it easy to compare pages.
  • Everything on one sheet. Places all the rows one after another. It suits a long statement or list that runs across many pages, because you can then sort and filter the whole table at once.

How to clean up your data in Excel

Some cleanup is normal after any PDF conversion. These steps fix the most common problems.

  • Numbers aligned to the left. Excel may be treating them as text. Select the column and use Data, then Text to Columns, and finish the wizard to turn them into numbers.
  • Dates that will not sort. Dates stored as text sort wrongly. Convert them with Text to Columns, choosing the date format that matches your data.
  • Repeated headers and footers. Long statements repeat the header on every page. Filter for the repeated text and delete those rows.
  • Empty rows and columns. Select the range and use Go To Special, then Blanks, to find them quickly and delete them.
  • Extra spaces and symbols. Use Find and Replace to remove stray spaces, currency signs or other characters that block calculations.
  • Totals that do not match. Add up the column and compare it with the total printed in the PDF. A difference points to a missed or misread row.

Why a PDF to Excel conversion fails

  • The PDF is a scan. A picture of a page has no text to read. Run text recognition first, for example with a scanner app, a PDF editor or Google Drive, then convert the result.
  • The PDF has a password. Protected files cannot be read. Unlock the file, save a copy and convert that.
  • No table lines and uneven spacing. When words are not clearly lined up, columns can merge or split in the wrong place. Convert a cleaner version of the file if you have one.
  • The file is very large. Big documents are slower and harder to check. Split them into smaller parts and convert each one.
  • The layout is too complex. Merged cells and side-by-side tables may need manual cleanup in Excel after the conversion.

Other ways to get PDF data into Excel

If you use Microsoft 365, Excel can import a PDF directly through Data, Get Data, From File, From PDF. It lets you choose which table to load, which is helpful when a converter does not read a page the way you want. For a very small table, copying and pasting a few rows can be quicker than converting the whole file.

If your file is a scan, the extra step is text recognition, which is often called OCR. After the scan has been turned into a text PDF, you can convert it as usual.

Is it safe to convert a PDF online?

Reading tables from a PDF is done on our server, so this tool does not run only inside your browser. Your file is sent over a secure connection, processed in memory to build the spreadsheet and not stored. Nothing is kept after the conversion finishes.

Even so, avoid uploading files that contain highly sensitive information, such as passwords or identity documents, to any online converter.

Frequently asked questions

How do I convert a PDF to Excel for free?

Upload your PDF to a free online converter, choose a layout, press convert and download the XLSX file. No signup is needed.

Can I convert a scanned PDF to Excel?

Not directly. A scan is only a picture, so it needs text recognition first. After that, you can convert the result like a normal PDF.

Why are my columns mixed up after converting?

The PDF may have no clear table lines or uneven spacing. Check the result in Excel and fix the columns, or try converting a cleaner version of the file.

Is my PDF stored on your server?

No. The file is processed in memory to build the spreadsheet and is not stored after the conversion.
