How to Convert Word to PDF Without Losing Formatting

By SEOAnalytics Lab · Updated · 6 min read

You finish a CV, a report or an assignment in Word and send it to someone, and on their screen the fonts look different, a table has moved and the page breaks are in the wrong place. This happens because a Word file is an editable document, and it looks slightly different on every computer that opens it. A PDF fixes the problem, because it keeps the layout exactly as you made it.

This guide explains why converting Word to PDF is a good idea, the different ways to do it, how to keep your formatting and what to do when something goes wrong. You will also learn how our free online converter works and what happens to your file.

Why convert a Word document to PDF?

  • The layout stays fixed. A PDF looks the same on a phone, a laptop and a printer. Fonts, images, tables and page breaks do not move.
  • It is harder to change by accident. Anyone can edit a Word file, even by mistake. A PDF is meant for reading, so your content reaches the reader as you wrote it.
  • Most applications ask for it. Job sites, universities, banks and government offices often accept only PDF files, because every device can open them.
  • The file is easy to share. A PDF opens in any browser, so the other person does not need Microsoft Word installed.
  • It prints correctly. What you see on the screen is what comes out of the printer, with the same margins and page breaks.

Ways to convert Word to PDF

There are several ways to turn a Word document into a PDF. The best one depends on what you have on your device.

  • Save as PDF in Word. In Microsoft Word, choose File, then Save As or Export, and pick PDF as the type. This gives the most accurate result, but it needs Word on your device.
  • Google Docs. Upload the file to Google Docs, then use File, Download and choose PDF. Complex layouts may change a little during the import.
  • Print to PDF. Choose Print, then pick Save as PDF as the printer. It works on most computers, but links and bookmarks may be lost.
  • An online converter. Upload the file to a website, wait a few seconds and download the PDF. It is the quickest option on a phone, a shared computer or a device without Word.

How to convert Word to PDF with our online tool

  • Step 1: Open the converter. Go to the Word to PDF tool. No account or installation is needed.
  • Step 2: Choose your file. Drag your document into the box or choose it from your device. DOC, DOCX, ODT and RTF files up to 25 MB are accepted.
  • Step 3: Press Convert to PDF. The file is converted in a few seconds. Large documents with many images can take a little longer.
  • Step 4: Download the PDF. Save the file and open it to check that the text, images and page breaks look right.

How to keep your formatting

A good conversion keeps your text, images, tables and page breaks. A few simple habits make the result more reliable, whichever method you use.

  • Use common fonts. If your document uses a rare font that the converter does not have, it will be replaced with a similar one, and the spacing can change. Standard fonts such as Arial, Times New Roman, Calibri and Cambria are the safest.
  • Embed or avoid special fonts. If you need a special font, convert on your own computer with Word, where the font is installed, or change to a common font before converting.
  • Use real page breaks. Do not press Enter many times to move to the next page. Use Insert, Page Break, so the layout does not move.
  • Keep images inline and reasonably sized. Very large pictures slow down the conversion, and floating images can shift. Compress big photos first.
  • Check the result. Always open the PDF and look at the first page, a table page and the last page before you send it.

Fixing common Word to PDF problems

  • The fonts look different. The original font was not available during conversion. Switch to a common font in Word and convert again.
  • A table or image moved. Floating objects and complex layouts can shift. Set the image to In Line with Text, or use a simpler table layout.
  • Page numbers or headers are wrong. Fields such as page numbers are recalculated during conversion. Update fields in Word first, then convert.
  • The file is too large. Photos make the PDF heavy. Compress the images in your document before you convert.
  • The conversion fails. A damaged or password-protected document cannot be converted. Open it in Word, save a fresh copy without a password and try again.

DOC or DOCX: does it matter?

DOC is the older Word format, and DOCX is the modern one used since Word 2007. Both can be converted, but DOCX files usually give a more accurate result because the format is newer and better documented. If you still have an old DOC file, open it in Word and save it as DOCX first if the layout looks wrong after conversion.

Our converter also accepts ODT files from LibreOffice and RTF files, so you are not limited to Microsoft Word documents.
