How to Count Words in a Document: Word Count, Characters and Reading Time

By SEOAnalytics Lab · Updated · 6 min read

Whether you are writing an essay with a strict limit, a blog post that needs to hit a target length or a product description that must fit a box, you need to know how to count words quickly and correctly. A word counter gives you the answer in a second, but it helps to understand what is being counted and why different tools sometimes show slightly different numbers.

This guide explains what counts as a word, how to check your word count in Microsoft Word, Google Docs and online, how many words fit on a page, and the ideal length for essays, blog posts and social media. You can test any text with our free word counter.

What counts as a word?

In most tools a word is any group of characters separated by spaces or line breaks. That simple rule is used by Microsoft Word, Google Docs and most online word counters, so a hyphenated term such as well-known is counted as one word, and a number such as 2026 is counted as one word as well.

Small differences come from special cases. Some tools split words at a slash or a dash, some count symbols that stand alone, and languages that do not use spaces, such as Chinese and Japanese, need a different method. If a strict limit applies, such as a university assignment, always check the number with the same tool your reader will use.

How to count words in a document

You can check your word count in three common ways.

  • Microsoft Word. The word count appears in the status bar at the bottom of the window. Select a paragraph first to count only that part, or open the Review tab and choose Word Count to see lines, paragraphs and characters.
  • Google Docs. Press Ctrl+Shift+C on Windows or Cmd+Shift+C on Mac, or open the Tools menu and choose Word count. The box shows pages, words and characters.
  • Online word counter. Paste your text into a free word counter and the totals update live as you type. It works for text from an email, a PDF or a website, and needs no software.

Words, characters, sentences and paragraphs

A good word counter shows more than one number, because different jobs need different limits.

  • Word count. The total number of words, used for essays, articles, books and most writing contracts.
  • Character count with spaces. Every letter, number, symbol and space, used by SMS messages, social posts and ad copy.
  • Character count without spaces. Only letters, numbers and symbols, which some translators and forms use.
  • Sentences and paragraphs. A quick check on structure. Very long sentences and huge paragraphs are harder to read on a phone.

How many words fit on a page?

The answer depends on font size, spacing and margins. With a standard 12 point font and normal margins, a single-spaced page holds about 500 words, and a double-spaced page holds about 250 words. These examples show how the numbers add up:

  • 250 words. About half a page single-spaced or one page double-spaced.
  • 500 words. About one page single-spaced or two pages double-spaced.
  • 1000 words. About two pages single-spaced or four pages double-spaced.
  • 2000 words. About four pages single-spaced or eight pages double-spaced.

How many words is an essay?

Essay length depends on the level and the subject, so always follow your teacher's brief. As a general guide:

  • Short school essay. 300 to 500 words.
  • High school essay. 500 to 1000 words.
  • College essay. 1000 to 2500 words.
  • Research paper. 3000 to 6000 words or more.

Many teachers allow a margin of about 10 percent above or below the limit, but never assume it. Check the rules in your assignment first.

Ideal word count and character limits

Online content has its own targets. Use these numbers as a starting point and adjust them for your topic and audience:

  • Blog post. 800 to 2000 words for in-depth guides that aim to rank in search, and 300 to 600 words for short updates.
  • Meta title. Around 50 to 60 characters, so it is not cut off in search results.
  • Meta description. Around 150 to 160 characters.
  • Tweet or X post. Up to 280 characters.
  • Instagram caption. Up to 2200 characters.
  • LinkedIn post. Up to 3000 characters.
  • SMS message. 160 characters for one standard message.

How reading time is calculated

Reading time is your word count divided by the average reading speed of an adult, which is about 200 to 250 words per minute. A 1000 word article therefore takes four to five minutes to read.

Speaking is slower. Speeches and video scripts usually run at 130 to 150 words per minute, so a five minute talk needs about 700 words. Use this to plan presentations and voice-overs.

Tips to reach or cut your word count

  • To add words. Add an example, a statistic or a short explanation instead of repeating yourself.
  • To cut words. Remove filler such as very, really and just, and replace long phrases with one strong word.
  • Prefer active voice. Active sentences are shorter and clearer than passive ones.
  • Edit in rounds. Write first, then check the count, then edit, so you do not trim good ideas too early.
